Privacy policy
JWYN (Just What You Need) is a forms and reports app. Organisations use it to build forms and their people use it to fill in and send reports, including offline. It is provided by Orchid Website Design ("we", "us") in Aotearoa New Zealand, and we handle personal information under the Privacy Act 2020.
Your organisation decides what its forms ask for and who can see the reports. For that report content we act on your organisation's behalf; questions about it are best sent to your organisation first.
What we collect
- Account details: your name, email address, password (stored only as a secure hash), role in your organisation, and when you last signed in.
- Profile: a profile photo and saved signatures, if you add them.
- Reports: what you enter into your organisation's forms, including photos, files, signatures and addresses.
- Location: only when you tap "Use my location" on a report. The app records that one position, its accuracy and the time, on that report. It never tracks you in the background.
- Device details: a notification token so we can send you alerts you have switched on.
We do not use your information for advertising, we do not sell it, and the app contains no third-party trackers.
How we use it
- To sign you in and keep your account secure.
- To store, sync and show reports to the people in your organisation who are allowed to see them.
- To send you notifications and emails about your organisation's reports and invites.
- To keep the service running and fix problems.
Who else handles it
We use these providers to run the service. Some are outside New Zealand, and each protects information to a standard comparable to the Privacy Act.
- Supabase stores the database and files and handles sign-in.
- Google Firebase hosts the web app and delivers push notifications.
- Anthropic drafts form templates and suggested answers when someone uses the AI features. Only the text or document given to it for that task is sent, and it is not used to train its models.
- OpenStreetMap looks up addresses when you search for one.
- Google Maps opens a location only when you tap a map link.
How long we keep it
Your organisation's reports are kept while your organisation uses the service, because records such as safety reports often have to be kept by law. Information on your phone is deleted when you sign out.
Deleting your account
You can delete your account at any time in the app: open the menu, tap the settings cog (My details), then Delete account. This deletes your account, profile photo and saved signatures straight away. Reports you sent stay with your organisation without your account attached. If you are the only person in your organisation, the organisation and its reports are deleted too.
You can also ask us to delete your account by emailing the address below.
Your rights
You can ask to see or correct the personal information we hold about you. If you are not happy with how we have handled it, you can complain to the Office of the Privacy Commissioner.
